How to document a problem item: evidence and a message you can copy

Returns and Refunds · Published October 24, 2026 · 1 min read · By TMGuide

A clear request with good evidence is easier to review and easier to resolve.

Evidence checklist

  • The outside of the package, including the shipping label.
  • The item in good light, from more than one angle.
  • A close-up of the problem.
  • A screenshot of the product page and your order.

Do not

  • Throw away packaging until the matter is settled.
  • Heavily edit or filter your photos.
  • Write a long story. Keep it short.

A message you can adapt

Order number: [your number]. The item arrived [damaged / different from the listing]. I have attached photos of the item and the packaging. I would like [a refund / a replacement]. Thank you.

After you send it

Keep the item until the request is closed, and keep screenshots of the status. If you are asked for more information, reply promptly.
